Send within 24 hours of registration. Volunteers drop off when they're uncertain about what to expect. Name the date, time, location, and what to bring. Remove every reason to second-guess.
Send 24–48 hours out. One email, one goal: make sure they show up. No new information that could create confusion, just a recap of what they already confirmed.
Send within 24 hours of a completed shift. This is the most underused email in volunteer management and one of the most effective impacts. “Thank you for your time” lands flat compared to, “Because of you, we served 120 families today.” Use a number, a story, or a concrete result to make it easy to come back.
