Sheila Long, CFO of Neosho, Missouri based ACCESS Family Care helms a 20-million-dollar budget for clinics covering five counties in Missouri. These clinics serve over 24,000 patients including uninsured and under insured with over 59,000 visits for medical, dental and behavioral health services as well as pharmacy services. ACCESS Family Care has grown its employee base to 230 employees.
“We are a Community Health Center, and I was probably the typical patient we serve as a child as I grew up poor. I have a passion for what I do because I’ve been there. In the last [several] years, my work here is to ensure financial stability for our organization and to expand our services to those in need,” states Long.
Under Sheila’s tenure with the support of MIP Accounting solution, Long has seen a $4 million budget grow to over $20 million.
Challenge & Solution
When Sheila started at ACCESS Family Care they were using Sage Mas 90 for their solution. Additionally, the prior CFO was managing the accounting records on a cash basis and they used an outside accountant to do straight line depreciation for the fixed assets for the accounting records. [At the beginning of] her tenure, Long realized as oversight of funding and grant funding was increasing, they had outgrown the capabilities of their software.
“We had to account and track everything we were doing in multiple spreadsheets. We were outgrowing our software. Mas 90 was not user friendly. We were not able to track reports. With MIP we set up the Chart of Accounts to track the grants and MIP has helped us have expedient tracking” said Long.
ACCESS Family Care also needed flexibility and range in creating original codes for CHC funding grants, quality awards, and many other grants.
Results
Successfully using MIP since May 2012, the healthcare system has added four new dental clinics, two new medical clinics and a mobile health unit. The organization has seen a marketable reduction in the time needed for producing reports and are able to manage nine different segments in their chart of accounts. ACCESS Family Care has been able to track every grant and follow every dollar for robust reporting.
