Simplifying the Educational Conference Planning Process
The American Society of Neuroradiology (ASNR) holds one annual meeting per year, providing attendees with the opportunity to learn the latest best practices in neuroradiology through lectures, research presentations, and exhibits. The conference spans five days and comprises 80 sessions, featuring over 250 oral presentations and approximately 600 e-posters.
The ASNR event staff was stretched thin, as all conference planning processes were handled manually, from collecting abstracts and obtaining financial disclosures to hunting down co-authors. Since the ASNR’s data wasn’t integrated into one powerful system, reporting lacked quality and consistency for planning and improving their annual event.
The events team needed a conference management solution that could be configured and scaled to meet the demands of their abstract submission and review process, as well as to organize and build sessions.
Challenge & Solution
ASNR receives over 1,000 abstract submissions for their annual conference and didn’t have an efficient planning process in place to support it. Since their staff consisted of logistics event planners with little experience in the education department, they relied on committee members to help organize the conference’s content. They had a very manual process with multiple, disconnected online forms to collect and review abstract submissions, build out sessions, and publish a conference agenda.
ASNR needed a solution that would streamline their abstract submission and review process, creating an even spread across speakers, topics, tracks, demographics, and regions when building the session schedule. ASNR chose to partner with Momentive Event Management to gain more control of their annual conference planning and execute more efficient processes. The partnership enabled ASNR to develop a robust content strategy that will ultimately attract more attendees.
